We are seeking a detail-oriented Bookkeeping Specialist to join our Finance team at Regina Public Library. This is an exciting opportunity to apply your accounting skills and knowledge in a dynamic public library environment.

About the Role

The successful candidate will have a strong background in bookkeeping and accounting principles, with excellent analytical and problem-solving skills. As a key member of our Finance team, you will be responsible for maintaining accurate financial records, preparing financial reports, and performing various accounting tasks.

Key Responsibilities

  1. Accounts Payable and Disbursements
  • Review and process accounts payable documents, ensuring accuracy and compliance with regulatory requirements.
  • Prepare and review journal entries for accounts payable and disbursements.
Accounts Receivable
  • Manage the accounts receivable process, preparing deposits and verifying cash receipt coding.
  • Review and reconcile cash/deposit files and payment processor reports.
Journal Entries and Reconciliations
  • Prepare and review correcting and month-end journal entries.
  • Assist in revenue and expense variance reporting through General Ledger and bank account reconciliations.
Purchase Orders and Capital Assets
  • Evaluate capital asset categorization prior to purchase order production.
  • Prepare and review purchase orders, ensuring proper authorization and adherence to Library policy.
General Financial Transactions
  • Process transactions in a timely and accurate manner, adhering to laws, regulations, and Library policy.
  • Develop practices and design spreadsheets for special purpose financial needs.
Fixed Asset Management
  • Create fixed asset records and communicate with departments for proper recording.
  • Ensure assets meet Tangible Capital Asset Policy criteria.
Cross-Training and Support
  • Learn and perform other accounting responsibilities, documenting processes for consistent performance.
  • Work with staff to prepare estimates for purposes like accruals and cost/benefit analyses.
Qualifications
  • Diploma in Business Administration or related field supplemented by 2 years recent accounting experience.
  • Experience with MS Office 365 and Dynamics 365 Business Central software preferred.
  • Able to maintain accuracy and completeness of information in data entry, posting, balancing, and summarizing accounting data.
  • Ability to research, analyze, and logically resolve work issues.
