Nature and Scope:
The Senior Coordinator, Payroll & Benefits, is responsible for overseeing the accurate and timely processing of payroll and the effective administration of employee benefits across the organization. Reporting to the Manager, Payroll and Benefits, this role provides advanced support in managing complex payroll functions, ensuring compliance with legislative requirements, and maintaining the integrity of employee data. The Senior Coordinator acts as a subject matter expert, supporting junior team members, streamlining processes, and serving as a key liaison between HR, Finance, and external vendors. With a strong focus on service excellence, this role ensures a positive employee experience through responsive communication and efficient resolution of payroll and benefits inquiries.
YMCA BC currently uses ADP Workforce Now and processes bi-weekly payrolls serving upwards of 2,300+ salaried, daily, and hourly paid staff.
Major Responsibilities-

Payroll Responsibilities:
• Oversee and ensure the accurate and timely processing of complex payroll cycles (e.g., bi-weekly, semi-monthly).
• Review and audit payroll data for accuracy, including earnings, deductions, and tax withholdings.
• Ensure compliance with federal and provincial payroll legislation and internal policies.
• Support year-end processes, including T4 preparation, reconciliations, and reporting.
• Collaborate with Finance on payroll-related journal entries, reconciliations, and audits.
Benefits Administration:
• Support with administrating employee benefits programs, including health, dental, life insurance, disability, and retirement plans.
• Support with the enroll of new employees in benefits and process changes due to life events or employment status.
Leadership & Support:
• Provide guidance and mentorship to junior payroll and benefits staff.
• Act as a subject matter expert on payroll and benefits processes and systems.
• Assist the Manager, Payroll & Benefits with process improvements, policy updates, and special projects.
• Support internal audits and external reporting requirements.
Customer Service & Communication:
• Serve as the first point of contact and a key point of contact for escalated payroll and benefits inquiries.
• Communicate clearly and professionally with employees, managers, and external partners.
• Ensure timely resolution of issues and maintain a high standard of service delivery.
System & Process Improvement:
• Maintain and enhance HRIS and payroll systems, ensuring data integrity and efficiency.
• Identify and implement process improvements to streamline payroll and benefits operations.
• Participate in system upgrades, testing, and implementation of new tools or modules.
Qualification

• University degree or college diploma in Accounting, Human Resources, Business Administration or a related field
• Minimum 4-6 years of progressive experience in payroll and benefits administration.
• Experience with ADP Workforce Now is an asset
• Demonstrated experience with complex payroll processing, including multi-provincial payrolls and year-end reporting.
• Knowledge of benefits, payroll and compensation systems
• Canadian Payroll Association – Payroll Compliance Practitioner (PCP) certification
• Proficient with Microsoft Office (Excel, Word, PowerPoint, Outlook)
• Ability to manage confidential information with discretion
• Excellent attention to detail and organization skills.
• Strong communication and interpersonal skills
• Ability to work independently and collaboratively in a team environment
• Problem solving mindset with a focus on customer service.
• Proven ability to work independently and collaboratively in a fast-paced environment.
• Successful candidate will be required to provide 3 satisfactory references
• Successful candidates will be required to provide a current and satisfactory Criminal Record check with a Vulnerable sector search issued no later than six (6) months preceding the start date.
