Position Overview

The Commercial Large Loss Project Manager Assistant supports restoration projects by coordinating activities alongside the Project Manager. This role ensures operational continuity by managing documentation, tracking progress, and facilitating clear communication with clients, subcontractors, insurers, and other stakeholders. Working in a dynamic, fast-paced environment, the Project Manager Assistant helps maintain project efficiency from initiation through to final payment and close-out.

Key Responsibilities
• Support the Project Manager throughout the full life cycle of assigned projects—from initiation through final invoicing
• Ensure accurate project documentation (work authorizations, completion certificates, etc.) is submitted and uploaded to internal and external claims systems
• Maintain consistent and professional communication with clients, subcontractors, adjusters, and other key stakeholders
• Track project progress, maintain up-to-date project notes, and produce revised schedules as changes occur
• Assist with the preparation and editing of estimates, budgets, internal scopes, letters, memos, and email communications
• Organize and submit project documentation packages upon completion
• Ensure invoicing is timely, accurate, and aligned with client protocols, and assist with collections as required
• Promote safety by supporting hazard assessments, maintaining organized job sites, and following BELFOR’s PPE and safety protocols
• Participate in safety training, inspections, and contribute to company-wide safety initiatives
• Perform any other reasonable duties as assigned

Qualifications
• Post-secondary education in business administration, office management, project management or a related field
• Proficiency in Microsoft Office Suite and Google Suite
• Strong organizational skills with the ability to manage multiple priorities under pressure
• Excellent written and verbal communication skills with a professional demeanor
• Attention to detail and a strong sense of responsibility when handling sensitive information and client property
• Ability to work independently and collaboratively
• Understanding of customer service best practices
• 1+ year of office experience is an asset
